▢ Have Chapter statistics available to report to the Chapter during the Vice President’s Report.
▢ Assign a Membership Committee Member to give a complete Weekly Membership Committee Report.
▢ Prepare two Referral Quality Checks.
▢ Ensure all Membership Committee Specialists can fulfill the week’s responsibilities. If not, re-assign or ensure tasks get completed.
DURING the Chapter Meeting Each Week
▢ Provide a complete Vice President’s Report
▢ Report on Chapter Goal Board weekly
▢ Provide two Referral Quality Checks weekly
▢ Record Attendance in conjunction with the Community Builder Specialist (P=Present; A=Absent; L=Late or Leave Early; M=Managed Leave; S=Substitute)
AFTER the Chapter Meeting Each Week
▢ Conduct a brief Membership Committee Check-in
▢ Ensure Quality Assurance Specialist:
▢ Reviews New Membership Applications submitted on the day of receipt
▢ Send a Blind Carbon Copy (bcc) email to the Chapter Members regarding applications submitted
▢ Ensure Membership Committee Members are active in the VP/MC SSS WhatsApp Group
▢ Ensure Membership Committee Members vote in the SSS WhatsApp Group within 2 days of the application submission
▢ Ensure Community Builder shares attendance with the Membership Committee during the Check-in so the Vice President can submit PALMS on the day of the meeting.
▢ Inform Quality Assurance Specialist of any changes in membership in the Chapter not reflected on your Chapter’s roster/Membership Dues report.
▢ Enter Chapter attendance and submit PALMS in BNI Connect® the day of the meeting.
AS NEEDED
▢ Conduct One-to-Ones with New Members as part of the Passport to Success Mentor Program.
▢ For Leadership Team support please attend our weekly Leadership Team Support zoom meetings each Monday from 12:00-1:00PM. Leaders can receive additional training to perform their roles with EXCELLENCE!
▢ For Leadership Team support throughout the week please submit a support request by simply sending an email to Support@BNITampa.com and we will have the right Team Member get in touch to solve the need.
▢ Request Advanced Training workshops to replace your Chapter meeting up to three times per year, based on your Chapter's needs.
MONTHLY
▢ Participate in a monthly Executive Team Leadership call with the President and S/T.
▢ Print, in color, the Member Traffic Lights Report from Reporting2You for every Member of your Chapter and distribute it the first week of the month (could be the 2nd week if the reports have not been delivered before your Chapter Meeting day) and discuss the status of the Chapter (more Members in the GREEN from last month, percentage of Members in colors, recognize those Members who have made significant positive changes…)
▢ Reward Members using the Notable Networker Certificates or other awards monthly
▢ Who has done/generated the most:
▢ CEU’s and BNI Business Builder® Leaderboard (this month)
▢ 1:1’s
▢ Referrals
▢ TYFCB
▢ Who has brought the most Visitors
▢ Review Pending Renewals in BNI Connect® (Operations >> Manage Memberships >> View Pending Applications). Approve all renewals before the 15th of each month. (The system automatically approves membership renewals on the 15th of the month and can no longer be declined. Be proactive and approve early in the month.
▢ The Vice President will monitor payments received and reach out to Members to get payments completed.
▢ Tracks the Members who leave early/come late to meetings as needed
▢ Co-Chair monthly Chapter Success Meetings
▢ Bring monthly PALMS Report from BNI Connect®, Membership Dues Report from BNI Connect®, Alerts Report from Reporting2You, Traffic Lights Report, Traffic Lights Evolution Report, Take Care Report, LT Seven-Month Check-In Report, LT Renewal Meeting Report.
▢ Report on overall Chapter performance
▢ Give a general report on the actions of the Membership Committee for the previous month.
▢ Report on Chapter Goal Boards and discuss long-term trends and upcoming mechanisms
▢ Attend Leadership Success Meetings with Vice Presidents from every Chapter in the Region.
SEMI-ANNUALLY
▢ Attend the BNI Tampa Annual Summit and March Best Ideas Conference with your entire Leadership Team.
REPORTS
▢ Verify the Dropped Member forms are submitted promptly.
▢ Ensure the Declined Application Upload form is completed within 24 hours of voting.
▢ Ensure that any withdrawn applications are declined in BNI Connect®.
▢ Weekly, submit the PALMS submission report in BNI Connect® to indicate the PALMS report has been completed on the day of the meeting.
▢ Complete the Monthly Chapter Success Meeting Report and upload it by the end of each month at https://reporting2you.com in the tasks section or on the Reporting2You app.
▢ Ensure the Member Engagement Specialist uploads all Seven-Month Check-Ins after they have been conducted by the 15th of the month at https://reporting2you.comor in the tasks section on the Reporting2You app.
▢ Ensure to upload all complaint documentation after a complaint is finalized.
▢ Direct Members who wish to change their BNI® classification to the Region Office at regionoffice@bnitampa.com where they will be able to direct them to the proper form to complete. Once the form is complete, the form and a poll will be placed in the VP/MC WhatsApp Group for a vote. Once a majority is reached, the Region Office will make the change in BNI Connect.
Vice President and Membership Committee Combined Checklist
Activities 2 weeks into the term:
▢ Get together with your MC to work up, finalize, and enter your Goal Planning 101 Documents with mechanisms into BNI Connect® per the “VP & MC Checklist & GP101 timeline” schedule matrix
▢ Update your goal boards with the next 6 months of goals.
▢ Set your Monthly Chapter Success Meeting schedule for the balance of the term.
▢ Assure attendance is being tracked, including arriving late/leaving early & calls are made to those who are absent on a rolling 6-month basis starting week one of the term. See PALMS Attendance Report in BNI Connect®.
▢ In partnership with the Member Engagement Specialist, create a check-in schedule for the term of your leadership for each Member. Add each New Member as they are inducted into the Chapter.
▢ In Partnership with the President, schedule all Chapter Success Meetings for the whole term to reflect a consistent day and time each month. (Reports are not available until the 3rd business day of the month.)
Activities each week/month:
▢ Submit your Chapter’s PALMS report in BNI Connect® immediately following your Chapter meeting
▢ Update your goal boards weekly for your Vice President’s report
▢ Acknowledge “Chapter Leaders” via the Notable Networker Report from Reporting2You
▢ Assure applications are being processed within a 2-day timeframe
▢ Be attentive to the "VP/MC BNI [Chapter]" WhatsApp Group for Region Office communications
▢ Assure the MC attendance calls are done (attendance Accountability Letters are automated as PALMS is completed weekly)
▢ Verify any online renewals are reviewed and processed before the 15th of the month, or they will be automatically approved
▢ Verify any formal complaints received from the BNI Tampa Region Office are being addressed by your MC, including Marleta Black (765) 621-2032.
▢ Meet with your Membership Committee for a 10-15 minute weekly check-in after each Chapter meeting.
▢ Verify the Member Engagement Specialist is conducting all Seven-Month Check-Ins promptly and that they are conducting the GROW Coaching sessions as needed.
▢ Verify that all LT Seven-Month Check-In & LT Renewal Meetings are taking place and being decided on with notes on the Reporting2You app.
