Selection of the Membership Committee
There should always be at least five trained Membership Committee Members: the Vice President and four trained Chapter Members in good standing. In addition, it is recommended that two Membership Committee Reserves are trained and available to step in should the need arise. The Vice President chairs the Membership Committee and is a voting Member in all decisions. It is recommended that all Contact Spheres be represented on the Membership Committee.
Membership Committee Specialists
Delegating the workload for Vice Presidents helps Membership Committee Members take more ownership and responsibility for the best interest of the entire Chapter. Please remember that while delegating these important roles/tasks to a Membership Committee Member, the Vice President of each Chapter is still responsible for making sure each task is completed promptly. Assign one Membership Committee to each of these four roles:
Quality Assurance Specialist
Member Engagement Specialist
Community Builder Specialist
Member Relations Specialist
Membership Committee Report
This will be a brief weekly report (agenda item #11 in the BNI® Weekly Chapter Meeting Agenda). You may wish to report on any of the following items. Advise the President who will be delivering the report. Delegate someone on the Membership Committee to deliver the report, but the Vice President should approve the report:
1st Meeting of the month – Pass out the Traffic Lights Report for the past month's performance and highlight Members who are giving (Referrals, Visitors, TYFCB) but may not be receiving. This will likely include an overview of how to read and interpret both reports.
Announce whose renewals are in process.
Notify the Chapter when a professional Classification is opened. For example: “We currently have an opening for a financial planner.” Also, feel comfortable sharing the # of seats in jeopardy due to attendance (3 absences).
Remind Members of the value or importance of one of the membership policies or guidelines.
Allow the Mentor Coordinator to give the Passport to Success Program Report (contact your Chapter’s Mentor Coordinator for more information).
This brief information is very important to a well-functioning Chapter. Every Chapter must have good administration. BNI® Members appreciate being reminded and informed about how the Chapter operations are being administered.
Weekly Membership Committee Check-Ins
5- to 10-minute check-in at the end of each Chapter meeting
Meetings are open only to the Vice President, Membership Committee Members, and the Region Team
Review New Membership Applications and assign responsibilities
Review PALMS Attendance Report to determine phone calls and if any additional Accountability Letters are necessary this week
Discuss immediate Chapter issues that need to be addressed
Discuss Reviews scheduled or not scheduled.
Monthly Chapter Success Meeting Preparation
The Vice President co-chairs the Monthly Chapter Success Meetings with the President, using the Chapter Success Meeting Agenda. The Vice President is responsible for uploading the Chapter Success Meeting Form at the completion of the meeting by submitting the task in the R2Y App or in the task section of Reporting2You.com.
Tips for a Successful Monthly Chapter Success Meeting
Schedule a consistent time, day of the month, and location for the entire leadership term. We recommend the first or second week of the month as data from the previous month will be critical in making decisions. The needed data will be available after the third working day of any month.
Ensure that all reports used for discussion are as current as possible
All Members must be treated equally when enforcing policies and providing coaching
Bring your GP101 to every meeting and report on the success of activities from the previous month and upcoming activities and stimulants
Confidentiality must prevail over the Monthly Chapter Success Meeting. Nothing sensitive in nature should be disclosed, discussed, or debated with other Members of the Chapter. Doing so is a breach of the BNI® Code of Ethics.
Please remember: The President is NOT on the Membership Committee!

Quality Assurance Specialist
Characteristics: Good at follow-up and helping others get tasks done; can communicate with and motivate Team Members. The entire process from application to induction should take about 2 days.
Responsibilities
Understands the BNI® Tampa Smart Start System (SSS) and is active in the VP/MC WhatsApp Group with the Region Office.
Communicates with the Visitor Host Open Networker/Orientation Facilitators as they follow up after each Chapter meeting with those visitors who expressed an interest in applying to ensure they are aware of potential applicants.
Send a Blind Carbon Copy (bcc) email to the Chapter Members regarding applications and seats submitted. Members should inform the Quality Assurance Specialist of any perceived conflicts with existing Members within 24 hours.
Assures the Vice President approves or declines the application in BNI Connect® after a majority vote is reached in the SSS WhatsApp Group by the VP/MC.
Once approved, the Quality Assurance Specialist contacts the President & Mentor Coordinator to advise of acceptance.
In the case of multiple applicants for the same seat ensure the Vice President uploads the Declined Application Form for each. The Region Office will reach out to declined applicants for placement or refund.
