Secretary/Treasurer Role Expectations

To be on the Leadership Team, the Secretary/Treasurer must read and sign the BNI® Leadership Team Agreement before taking the position. Each Member of the Leadership Team (all) must attend Leadership Team Training every 6 months. Leadership Team Training is required.

General Expectations

  1. Be a good, energetic, responsible leader with strong speaking and organizational skills, the ability to manage funds, and a basic level of technical skills using online platforms.

  2. Display a positive, supportive, and professional attitude at all times.

  3. Commit to fulfilling the Secretary/Treasurer duties from October 1 through September 30, including the ability to hold Members accountable in a supportive manner.

BNI Chapter Expectations

  1. Track and collect Chapter dues. Pursue those who have not paid privately and seek support from MC when needed.

  2. Arrive at meetings at least 15 minutes before open networking to set up the room, greet visitors and ensure that the meeting effectively starts on time.

  3. In the absence of the President and Vice President, run each Chapter meeting according to the BNI® Weekly Chapter Meeting Agenda.

  4. Participate in monthly Chapter Success Meetings to discuss, as outlined in the monthly Chapter Success Meeting Report, outside of the regular meeting.

  5. Schedule Members as featured speakers after they have attended the Member Success Program and graduated from the Passport to Success Program. Maintain the speaker rotation list (8 weeks drafted in the Secretary/Treasurer Tracking Sheet with space for New Members and then 6 weeks entered into BNI Connect®). Announce upcoming speakers every week for the next 6 weeks. Include the Director Consultant on a 4-8 week speaking rotation as communicated in The Chapter Visitation Matrix found on the Secretary/Treasure Portal Page.

  6. Introduce the weekly speakers (passionately) using updated Biography Sheets

  7. Provide a weekly Secretary/Treasurer’s Report during each Chapter meeting, including: -Members whose fees are due by the 15th of the month and thus will incur a late fee if paid after the first day of the following month. Where none are due, announce the following month’s renewals. (Notify the VP and MC of any Members who still owe renewal participation fees after the due date, seeking their help to obtain payment.)

  8. Verify your Chapter’s Membership Dues Report from BNI Connect®. Any corrections to the name or business name can be submitted by the Member through BNI Connect® on their profile page.

Communication Expectations

  1. Have E-mail, a Google Account, WhatsApp (phone app), Excel/Word, and scanning capabilities.

  2. Assist the President in providing leadership, motivation, direction, and coaching as required by Chapter needs.

  3. Communicate and cooperate with the Chapter President, Vice President, BNI® National Office, and the BNI® Region Office in their pursuits to improve and maintain the quality of your Chapter.

Chapter Success Expectations

  1. Sign the BNI Leadership Team Agreement.

  2. Complete Secretary/Treasurer Training and attend Q&A Session.

  3. Attend BNI Tampa Annual Summit & March BEST IDEAS Conference.

  4. Attend Leadership Success Meetings with Secretary/Treasurers from every Chapter in the Region.

  5. Attend ongoing support and training opportunities as provided by your BNI® Region Office.

  6. Conduct One-to-Ones with New Members as part of the Passport to Success Mentor Program.

  7. Be attentive and engaged on the Secretary/Treasurer WhatsApp Group

Secretary/Treasurer Checklist of Responsibilities

BEFORE the Chapter Meeting Each Week

▢ Arrive at least 15 minutes before Open Networking

▢ Prepare for a successful meeting

▢ Have Speaker Rotation List ready to announce 6 weeks of upcoming speakers

▢ Have Biography Sheets ready for introducing today’s speakers

▢ Have Monthly Membership Dues Report available to remind upcoming renewing Members

▢ If you will not be at a meeting, delegate your role in the agenda to a specific Leadership Support Member

DURING the Chapter Meeting Each Week

▢ Time the Member Weekly Presentations using the BNI® Timer App found in the iTunes App Store/Google Play Store for Android. (This activity can be delegated)

▢ Announce upcoming speakers for the next 6 six weeks. Introduce each featured presentation speaker thoroughly and quickly using their Biography Sheets.

▢ Announce which Members’ BNI® Dues will expire on the first of the following month or are late with their membership dues.

▢ Remind Members coming due within the next 90 days to submit their renewal application and to pay their BNI® Dues when approved. It is recommended that renewing Members do so by the 15th of the month before their renewal date. This allows the Membership Committee to approve their renewal.

AFTER the Chapter Meeting Each Week

▢ Make bank deposits of monies received during the meeting from meeting fees and opportunity drawings only. It is recommended to hold a cash "float" of approximately $100 on hand to provide change to visitors who pay meeting fees when they visit. It is recommended you record the cash float incomings and outgoings in the BNI Chapter Treasurer Tracking Sheet

▢ Keep receipts of all monies and deposits for your Chapter checking account records.

▢ Continue to rotate Members on the speaker rotation list, including Director Consultant visits; enter Member’s speaking date and detailed topic description in BNI Connect® (See Tips for Creating the Speaker Rotation Schedule for specific guidance on using this detail in your Chapter and the Featured Speakers' benefit)

▢ Use and keep up to date with the BNI Chapter Treasurer Tracking Sheet which includes Account Register, Chapter Dues Payment Log, Chapter Budget, and Speaker Rotation (shared with you to edit and your Chapter President and Vice President to view)

▢ Ensure you review the Director Consultant’s Feature Presentation schedule in the The Chapter Visitation Matrix. This can be found on the BNI Tampa Portal under the Secretary/ Treasurer role. Additionally, have an up-to-date Biography Sheet and headshot for Chapter slides for the Ambassador/Director Consultant who is speaking. This can be found on the Speaker Legend tab on theThe Chapter Visitation Matrix.

AS NEEDED

▢ Conduct One-to-Ones with New Members as part of the Passport to Success Mentor Program

▢ For Leadership Team support please attend our weekly Leadership Team Support zoom meetings each Monday from 12:00-1:00PM. Leaders can receive additional training to perform their roles with EXCELLENCE!

▢ For Leadership Team support throughout the week please submit a support request by simply sending an email to Support@BNITampa.com and we will have the right Team Member get in touch to solve the need

Request Advanced Training workshops to replace your Chapter meeting up to three times per year, based on your Chapter's needs

MONTHLY

▢ Participate in a monthly Executive Team Leadership call with the President and Vice President

▢ Attend Monthly Chapter Success Meetings

▢ Report on Chapter Roster, Membership Dues Report, Chapter Checking Account, and Kitty

▢ At the last Chapter meeting each month, connect with the Vice President to ensure upcoming approved Membership Renewal Applications have been processed

▢ Balance the Chapter checking account

▢ Attend Leadership Success Meetings with Secretary/Treasurers from every Chapter in the Region.

SEMI-ANNUALLY

▢ Attend the BNI Tampa Annual Summit and March Best Ideas Conference with your entire Leadership Team.

*The Secretary/Treasurer also fully understands that he/she will voluntarily step down from the position if, after coaching, he/she is unable to comply with the requirements and expectations of the position.

Membership Renewal Application Process

Payments made Online by Credit Card

Members submit their renewal application and Credit Card Payment online through the renewal links in BNI Connect or by clicking on the “Renew Now” link on BNITampa.com under Membership Dues

Payments made by Check

Members submit their renewal application on BNI Connect® or by clicking on “Renew Now” on BNITampa.com and choosing “Other” as the payment type. They then will enter payment at BNITampa.com under membership dues (http://bnitampa.com/en-US/payments). They will choose "Renewal (eCheck Only)". These two steps must be completed in tandem, or the renewal or payment will be voided before midnight, and the member will be expected to complete the 2 steps in tandem.

Late Renewals

If a Member renews after the first of the month in which their membership lapses, the Member can still renew online up until the 15th of their renewal month. Regardless of their form of payment, a late fee is still assessed and needs to be collected. The late fee is payable at http://bnitampa.com/en-US/payments.

If a Member renews after the last day of the month in which their membership lapses, the Member will be responsible for submitting the participation fee plus the application fee. To reapply, they would then fill out a full application and go through the Membership Committee Review. The member SHOULD NO LONGER ATTEND FUTURE MEETINGS as the “seat is opened” unless accepted by the Membership Committee.

Monthly Membership Dues Report

On the first day of every month, in BNI Connect®, go to Reports >> Chapter >> Membership Dues Report, select today’s date, then Go. In the upper right-hand corner, select Print.

Print or export the report, and check for the following:
▢ Check the report monthly against who is attending your meetings as a member. Is anyone missing?
▢ Check the late list to see who still needs to submit their online Membership Renewal Application with the automatic $100 late fee.
▢ Check to see who shows as dropped from the Chapter. If this is accurate, no other action is needed. If not, advise Members to go online and submit a renewal with the $100 late fee. Please note: Members who are more than 30 days late must submit a new application along with full registration and application fees to be reviewed by the Membership Committee and reinstated if accepted.
*If there is a member who has resigned, notify the Vice President to fill out the Drop Member Request Form.
