Chapter Meeting Venue
Is the location easy to find with ample signage?
Is the room available at least 30 minutes prior and 30 minutes after the meeting time for setting up, networking, and clean up?
Who is responsible for opening the doors?
Can the room be set in a horseshoe or square seating arrangement?
Are there at least 6-8 extra chairs beyond those used by your Members and visitors?
Does the venue portray a high-quality, professional business image?
Follow the Venue Selection Tool in BNI Business Builder® to assess various venues in your area.
All venue changes must be approved by the Region Office before the change. Contact the Senior Area Director as soon as a venue change becomes necessary. The Sr. Area Director’s role is to ensure all Chapters meet in high-quality venues that display a high level of professionalism.
Do you have a backup plan? What happens when the venue calls you the night before your Chapter meeting and says that your room won’t be available in the morning? Prepare for the unexpected by having a backup venue in mind that may work at the last minute. Develop a communication system that will ensure all Members get the message at the last minute. Put up a sign at your normal venue to indicate the last-minute venue change. Don’t let someone else’s actions interfere with your Chapter’s opportunity to do business! (Having a Chapter Zoom account can be an effective option.)
Monthly Chapter Success Meetings
The President and Vice President chair the Monthly Chapter Success Meetings, using the Chapter Success Meeting Agenda. The Vice President is responsible for submitting the Chapter Success Meeting Form to the R2Y App or in the task section of Reporting2You.com at the completion of the meeting.
Confidentiality must prevail over the Monthly Chapter Success Meeting. Nothing sensitive to the Membership Committee should be disclosed, discussed, or debated with other Members of the Chapter, including the President. Doing so is a breach of the BNI® Code of Ethics. As a President, do not encourage or participate in any issues regarding Membership Committee items. Refer Chapter Members to the Region Office if they need clarification or advice. STEER CLEAR!
Executive Leadership Team Meetings
The Executive Leadership Team consists of the President, Vice President, and Secretary/Treasurer. Executive Leadership Team Meetings are held on an as-needed basis and are closed to the general Membership.
Meeting Stimulants
Meeting Stimulants are an important part of BNI meetings to have fun and engage Members in different ways. The Meeting Stimulants Manual is available on BNI Business Builder® by clicking here (all BNI Tampa standards must be adhered to when using this manual, i.e., 60-second Weekly Presentation would be 30 in our region...) Meeting Stimulants are to be used every 6-8 weeks and when needed, not on a regular or constant basis.
